Can I edit an invoice after it has been sent or paid?
In most cases, you can continue to edit an invoice even after a customer has made a partial payment. You can also change an invoice number after the invoice has been fully paid.
Editing an invoice after a partial payment
If a customer has paid a deposit or another partial amount, you can still edit the invoice. You can add or remove line items, change quantities, and adjust prices as usual.
There is one important limitation: you cannot reduce the invoice total below the amount the customer has already paid.
If you need to make the invoice total lower than the amount already paid, issue a refund first. Once the refund is processed, you can edit the invoice to the desired total.
Invoices with no payments remain fully editable.
Changing an invoice number
You can change an invoice number from the invoice details screen, even after the invoice has been paid.
This can be helpful if the automatically assigned invoice number conflicts with a number you already use, such as a job number or a number entered manually in QuickBooks.
If the invoice was previously stuck during QuickBooks sync, saving a new invoice number will also automatically retry the sync.
FAQ
Will editing an invoice change a payment the customer already made?
No. Payments that have already been made remain attached to the invoice.
What if my invoice shows as paid, but the amount is incorrect?
Editing the invoice will not incorrectly mark it as paid. If the invoice is showing an incorrect payment status, contact support for help.
