How does project installation date work?
See what installation date is and how proposal and invoice due dates can tie to it.
What it is
The installation date is the day work is installed at a project, and billing dates like invoice due date, and deposit due date can be anchored (e.g. due 7 days after install) to follow the installation date.
Setting it
Set or change the installation date from the project details page or directly in the proposal or invoice editor — it all edits the same date. The install date is project-wide — changing it will shift other anchored dates on proposals and invoices linked to this project.
Dates you can anchor
Each of these can either be a fixed custom calendar date, or set relative to installation — the install date plus an offset you pick (e.g. 7 days before, or 45 days after installation):
- Due date — when payment is due for an invoice.
- Deposit due date — when an upfront deposit is due for an invoice.
- Renewal first charge date — when a staging renewal starts to charge. Renewals are counted from installation rather than the proposal date (e.g. 45 days after install).
- The first renewal charge is always in the future — if a change to the install date would push it into the past, it automatically moves to tomorrow instead.
An anchored date on a project with no install date yet stays pending (blank) until the install date is set.
How to anchor a date
When creating or editing an invoice or proposal, the anchorable dates can set one of two ways:
- Custom date— a fixed calendar date Manually set; never moves.
- Relative to installation — the install date plus an offset (e.g. 7 days before, or 45 days after installation). Moves with the install date.
What changes when you move the install date
Changing the installation date recalculates every anchored date across the proposals and invoices linked to the same project. It only moves dates that can still change, though:
On proposals — the due date and deposit due date recalculate while the proposal is still open to edits (draft, active, or expired). Once it's accepted, declined, or voided, they're locked.
On invoices:
- Balance due date — recalculates until the invoice is paid or voided.
- Deposit due date — recalculates until the deposit is paid, on its own, or the invoice is voided. A paid deposit locks the deposit date only; the balance due date keeps tracking.
- Renewal charge date — recalculates until the first charge fires. Once it's charged (or the renewal is stopped), the schedule is locked.
Past those points these dates are locked. Fixed custom dates never move.
When a proposal is accepted, its due date and deposit due date carry onto the new invoice, which then keeps tracking the install date until it's paid or voided.
Customer notifications
When a due date moves on an open invoice, the customer is automatically emailed the updated date.
