Keeping correct QuickBooks account mapping on Titus proposals & invoices

Get item-level income/expense account mapping in your QuickBooks reports (e.g. Profit & Loss) by adding line items from your QuickBooks catalog — not the Titus catalog.

Summary

When you create proposals or invoices in Titus, you can browse your product catalog to add line items. In the product catalog drawer, you will see 2 sections: Quickbooks catalog (if connected to QuickBooks) and Titus catalog. For an accurate item-level income/expense account mapping in Profit & Loss in QuickBooks, add items from your QuickBooks catalog — not the Titus catalog.

How Titus catalog items sync 

Titus doesn't yet sync your Titus catalog item-by-item to QuickBooks. When an invoice with Titus-catalog or typed lines syncs to QuickBooks, Titus looks for a QuickBooks item named "Services" and maps every line to it:

  • If a "Services" item already exists, Titus uses it as-is — whatever income and expense accounts it's currently mapped to.
  • If it doesn't exist, Titus creates it, mapped to your first Income and first Cost of Goods Sold account.

Each line's name still appears on the QuickBooks invoice. The difference is in reporting: because these lines all post to the "Services" item's accounts, their revenue and costs show up under those accounts in your P&L.


To ensure proper account mapping for QuickBooks sync

  1. In QuickBooks, confirm each item is mapped to the correct accounts.
  2. In Titus, open the proposal or invoice editor and click Browse catalog.
  3. The QuickBooks catalog section lists the items from your QuickBooks account.
  4. Add items from the QuickBooks catalog — not the Titus catalog.
  5. On sync, the QuickBooks invoice maps each line to its item and that item's accounts.
